These terms are a general framework. Your accepted quote, invoice, booking confirmation, membership agreement, service order and any written house rules may contain service-specific terms. If a service-specific document conflicts with these general terms, the more specific written document will apply to that service.
1. Acceptance and eligibility
By using this website, submitting an enquiry, making a booking, purchasing a service, entering Vital Colabs or using our facilities, you agree to these Terms & Conditions. If you book or agree on behalf of a company, team or another person, you confirm that you are authorised to bind them and are responsible for communicating applicable terms and house rules to all users and guests.
You must be legally capable of entering an agreement. Minors may enter the premises only with appropriate adult supervision and prior approval where required. We may request reasonable identity, business or contact verification before confirming access, particularly for private offices, virtual-office services, mail handling and business-support services.
2. Bookings, memberships and access
- All plans, desks, offices, rooms and event spaces are subject to availability, capacity, operating hours and confirmation by Vital Colabs.
- A website enquiry, tour request or form submission is not a confirmed reservation. A booking becomes confirmed when we issue written confirmation and any required advance payment or deposit has been received.
- Access rights are personal to the approved member, organisation or booking party and may not be transferred, shared or resold without written approval.
- Hot desks, common areas and shared facilities are used on a non-exclusive basis. A specific desk, room or view is guaranteed only when expressly included in a written confirmation.
- Private-office occupancy, dedicated-desk use, access hours, meeting-room credits, printing allowances, storage and other inclusions are limited to those stated in the selected plan or written agreement.
- Members must follow reasonable reception, access-control, visitor, health, safety, emergency and security procedures communicated by Vital Colabs.
We may make reasonable operational changes to desk or room allocation, access procedures and common-area use where needed for safety, maintenance, service quality or building requirements. Where a material confirmed service cannot be provided, we will discuss a reasonable alternative, credit, rescheduling option or other remedy appropriate to the circumstances.
3. Fees, taxes, deposits and payment
Prices displayed on the website are indicative unless expressly stated as a binding offer. Final fees may vary based on office size, capacity, duration, timing, setup, additional services and availability. The confirmed quotation, invoice or agreement will state the applicable price and payment schedule.
- Fees must be paid by the due date and through an approved payment method. You are responsible for providing a clear payment reference or proof where reasonably requested.
- Applicable taxes, duties, bank charges and transaction costs may be added where required or stated.
- Deposits may be required for offices, equipment, access devices, events or higher-risk bookings. Deposit deductions may be made for unpaid charges, damage, missing items, extraordinary cleaning or other documented losses, subject to the relevant agreement.
- Overdue amounts may result in delayed confirmation, suspended access or termination after reasonable notice, without removing the obligation to pay amounts already due.
Cancellations, refunds and rescheduling
Cancellation, refund, notice-period, renewal and rescheduling conditions depend on the service and will be stated in the relevant booking confirmation, quotation, invoice or membership agreement. Meeting-room and event bookings may also require advance notice and may be non-refundable or partially refundable after space, staff or equipment has been reserved. Please confirm these conditions before payment.
4. Workspace use and community conduct
You must use Vital Colabs professionally, safely, lawfully and with reasonable consideration for other members, guests, staff and building occupants. You must not:
- use the premises, address, network or services for unlawful, fraudulent, misleading, abusive or prohibited activity;
- create excessive noise, harassment, discrimination, threats, nuisance or disruption;
- bring dangerous, illegal, flammable or unauthorised items onto the premises;
- smoke or vape except in an expressly designated area, or consume prohibited substances;
- alter furniture, wiring, access systems, branding, locks or facilities without permission;
- record, photograph or disclose another person, meeting, screen, document or confidential conversation without permission;
- exceed room capacity, obstruct exits or disregard safety and building instructions; or
- represent that Vital Colabs endorses, partners with or guarantees your business unless agreed in writing.
You remain responsible for your employees, contractors, attendees, invitees and guests, including their conduct, charges and any damage they cause. Guests must follow reception and access procedures and may be limited by the selected plan or booking.
5. Property, storage, internet and confidentiality
You are responsible for your own devices, documents, cash and personal property. Lockable storage may reduce risk but does not create a guarantee against loss, theft or damage. Items left after a booking or membership ends may be handled under reasonable notice and storage procedures.
Internet access is a shared convenience and may be affected by maintenance, provider outages, capacity, power or technical issues. You must use the network lawfully, apply appropriate device security and avoid activity that threatens network performance or security. Vital Colabs does not guarantee uninterrupted service, a particular speed or the confidentiality of information transmitted over shared or third-party networks.
Members and guests are responsible for protecting their own confidential information. Access to a shared workspace does not authorise anyone to view, use or disclose another member’s information or intellectual property.
6. Meeting, training and event spaces
- The organiser is responsible for attendee conduct, invitations, registrations, content, required permissions, timing and compliance with stated capacity and building rules.
- Setup, catering, tea service, projectors, seating, photography, recording, branding, reception desks and cleaning are included only when confirmed in writing.
- Access before or after the confirmed time, overtime, additional attendees, special setup, extraordinary cleaning, equipment loss or damage may incur additional charges.
- Events must not be unlawful, unsafe, misleading, offensive, politically or reputationally harmful, or inconsistent with the professional use of the premises. We may decline or stop an event where reasonably necessary for safety, compliance or protection of the space and community.
- The organiser must obtain permission before displaying third-party brands, filming other occupants or using images of the premises for public promotion in a way that suggests endorsement.
7. Virtual-office and business-address services
Virtual-office services provide only the items stated in the selected package, such as use of a business address, basic reception, mail receipt, meeting-room credits or limited workspace access. They do not create a lease, tenancy, permanent physical office, partnership, agency or employment relationship.
- Use of the address is subject to identity and business verification, payment, applicable law and written approval.
- You must not use the address for unlawful, deceptive, restricted or unauthorised purposes, or register it with an authority where additional consent, evidence or eligibility is required without first obtaining approval.
- You remain responsible for the accuracy of registrations, filings, licences, tax positions and public statements connected with your business.
- Mail and courier handling is subject to practical limits, collection procedures, identification and any additional forwarding or storage charges. We may refuse hazardous, illegal, oversized, perishable, cash-on-delivery or unidentified items.
- Vital Colabs does not guarantee that a regulator, bank, courier, tax authority or other third party will accept the address for a particular purpose.
8. Business and professional services
Company-registration assistance, NTN/FBR or SECP documentation support, accounting, tax, legal, marketing, website, design, social-media, recruitment, HR, consulting, photography and similar services are provided only to the scope stated in a separate quotation or service order.
Some services may be delivered by independent professionals or third parties. Unless expressly stated otherwise in writing, Vital Colabs coordinates the requested service but does not guarantee approval by an authority, a particular commercial result, search ranking, lead volume, hiring outcome, tax treatment or legal outcome. You are responsible for reviewing submissions, providing accurate and timely information, and obtaining specialist advice where appropriate.
9. Website content and intellectual property
The Vital Colabs name, website design, text, graphics and other original materials are owned by or licensed to Vital Colabs and may not be copied, republished, sold or used to imply endorsement without permission. You may use the website for genuine information, enquiry and booking purposes.
Website information, availability, inclusions and prices may change. We aim to keep information accurate but do not guarantee that every item is complete, current or error-free. Please rely on the final written confirmation for your booking or service.
10. Service availability and responsibility
To the extent permitted by applicable law, Vital Colabs is not responsible for indirect, special or consequential loss, loss of profit, loss of opportunity, loss of data or business interruption arising from use of the website, premises or services. Nothing in these terms excludes a responsibility that cannot lawfully be excluded.
Services may be interrupted by maintenance, utility failure, internet-provider issues, building restrictions, emergency, severe weather, public-authority action, civil disturbance or other circumstances beyond reasonable control. We will use reasonable efforts to communicate material disruptions and restore affected services.
You are responsible for claims, costs or damage arising from your unlawful conduct, breach of these terms, misuse of facilities or the actions of people under your booking, except to the extent caused by Vital Colabs’ own proven fault.
11. Suspension and termination
We may refuse, suspend or terminate access or services where fees remain unpaid, verification is incomplete, safety or security is at risk, these terms or house rules are seriously or repeatedly breached, or use of the premises or address may expose Vital Colabs or others to legal, operational or reputational harm.
Where appropriate, we will provide notice and a reasonable opportunity to address the issue. Immediate action may be taken where necessary to protect people, property, systems or legal compliance. Ending access does not remove obligations or charges that arose before termination.
12. Privacy
Our collection and handling of personal information is described in our Privacy Policy. You are responsible for having permission to provide personal information about team members, attendees, guests, recipients or other third parties.
13. Changes, applicable law and disputes
We may update these terms for future website use, bookings and renewals. The latest version will appear on this page. A confirmed service will remain subject to the version or written agreement applicable when it was accepted, except where a change is required by law, safety or building operations.
These terms are governed by the applicable laws of Pakistan. The parties should first attempt to resolve concerns in good faith through direct communication. Subject to any mandatory legal process, unresolved disputes will be submitted to the courts with appropriate jurisdiction in Karachi, Pakistan.
